Exhibitor Agreement & Terms

Governing Law: Queensland, Australia By ticking the box on the order form, you ("Exhibitor") agree to the following terms and conditions for participation in the SeXhibition event ("Event") organised by Summit Expo Group Pty Ltd ("Organiser"). Please read these terms carefully before proceeding.
1. Event Details
Event Name: SeXhibition
Event Dates: 28-30 November 2025
Event Location: Exhibition Building, 600 Gregory Terrace, Bowen Hills, Brisbane, Queensland 4006, Australia
Exhibitor Setup Date/Time: Thursday 27 November 2025. Time: 10am - 5pm
Exhibitor Breakdown Date/Time: Sunday 30 November Time: 5.30pm - 9.30pm
2. Exhibitor Responsibilities
Booth Space: The Organiser will allocate booth space to the Exhibitor at its sole discretion. The Exhibitor must not sublet, assign, or share the allocated space without prior written consent from the Organiser.
Compliance with Laws: The Exhibitor must comply with all applicable laws, regulations, and venue rules, including workplace health and safety, fire safety, and public liability requirements.
Conduct: The Exhibitor must conduct itself in a professional manner and ensure that its representatives do not engage in any behaviour that may disrupt the Event or offend other participants.
Materials and Display: All promotional materials, displays, and products must be appropriate for the Event and comply with the Organiser's guidelines. The Organiser reserves the right to remove any materials deemed inappropriate.
Insurance: The Exhibitor must maintain adequate public liability insurance (minimum $20 million AUD) and provide proof of insurance to the Organiser prior to the Event.
3. Payment Terms
Exhibitor Fees: The Exhibitor agrees to pay the total fee as indicated on your Invoice ("Fee") for participation in the Event. Payment Schedule:
- 14 Day Holding Deposit: A minimum $250 holding deposit is required when submitting the exhibitor online application. If the Application is declined the holding deposit will be refunded within 14 days.
- If the Exhibitor application is accepted, you will receive an invoice within 7 days detailing the approved Exhibitor payment schedule.
- Full deposit (less $250 paid with exhibitor application) will be due within 7 days of receiving the invoice. Scheduled payment details including amount and date due will be included on the exhibitor invoice and must be paid by the date they fall due.
- Balance: All Exhibitor balance payments must be paid in full by 1 October 2025.
- Scheduled payments will automatically be charged to the same card used for the deposit balance payment on the date they fall due. If you do not wish the card to be charged for subsequent payments, please advise us by email and bank ETF details will be provided.
Late Payments: Failure to pay any scheduled payment after the exhibitor application is accepted by the due date may result in cancellation of the Exhibitor's participation without refund.
4. Cancellation and Refunds
Exhibitor Cancellation: Cancellation more than 30 days prior to the Event: The exhibitor is liable for 50% of the total amount. Cancellation within 30 days of the Event: No refund will be provided.
Organiser Cancellation: The Organiser reserves the right to cancel or postpone the Event due to unforeseen circumstances (e.g., natural disasters, government restrictions). In such cases, the Organiser may offer a full or partial refund or credit for a future event at its sole discretion.
5. Liability and Indemnity
Limitation of Liability: The Organiser will not be liable for any loss, damage, or injury (including indirect or consequential loss) suffered by the Exhibitor, its representatives, or its property, except to the extent caused by the Organiser's negligence. Indemnity: The Exhibitor agrees to indemnify and hold harmless the Organiser, its employees, and agents from any claims, liabilities, or expenses arising from the Exhibitor's participation in the Event.
6. Intellectual Property
The Exhibitor grants the Organiser the right to use its name, logo, and images for promotional purposes related to the Event. The Exhibitor warrants that all materials used at the Event do not infringe any third-party intellectual property rights.
7. Force Majeure
The Organiser will not be liable for any failure or delay in performing its obligations under these Terms due to events beyond its reasonable control, including but not limited to natural disasters, pandemics, or government restrictions.
8. Governing Law
These Terms are governed by the laws of Queensland, Australia. Any disputes arising under these Terms will be subject to the exclusive jurisdiction of the courts of Queensland.
9. Entire Agreement These Terms constitute the entire agreement between the parties and supersede all prior negotiations, representations, or agreements. Any amendments to these Terms must be in writing and agreed upon by both parties.
10. Acknowledgement and Acceptance
By ticking the box and submitting the order form, you acknowledge that you have read, understood, and agree to these Terms and Conditions in their entirety.
